Finding the right partner - successful outsourcing in customer service

How do companies find the right outsourcing partner for their customer service today - and what really matters? In this article, Matthias Quirmbach from OBI E-Commerce shows why traditional offshore and nearshore models are currently facing a profound change. Globally distributed service teams, new platform providers and the increasing use of AI are not only changing cost structures, but also requirements in terms of quality, controllability and cultural understanding.

At the same time, one thing remains unchanged: Successful outsourcing is only possible if the service provider and client are a good strategic, cultural and operational fit. Our company therefore sheds light on which criteria are decisive when choosing a partner, which risks are often overlooked and how modern outsourcing models help to secure capacities and strengthen service quality in the long term.

Outsourcing, nearshoring and offshoring: how customer service is changing

Outsourcing in customer service has been established since the 1970s - initially with banks and telecommunications companies, which outsourced business processes to external call centres. Nearshoring and offshoring of customer service units to countries with qualified employees and lower labour costs have expanded significantly since the late 1990s and early 2000s thanks to technological advances.

The coming years will show how artificial intelligence (AI) will continue to change these models. It can already be observed today that language skills are becoming less important due to simultaneous translation. Nevertheless, it remains crucial to recognise customer and country-specific needs. Data protection, IT security, clear control logic and acceptance within your own organisation are equally important.

Customer service goes offshore: finding the right partner

When choosing a partner, it is important to define your own requirements and check whether the potential service provider fits in with your own idea of customer service. Decisive criteria are the volume to be assigned and the size of the company.

Three partner categories at a glance:

Success factors for your nearshoring or offshoring project

Status of customer service employees abroad

In many countries, employees in customer service are highly recognised and often have academic degrees. This increases recruitment opportunities and ensures strong commitment in day-to-day work - a clear advantage for companies that rely on international teams.

Conclusion: How to successfully outsource customer service

Nearshore and offshore models offer attractive opportunities to bridge recruitment bottlenecks and organise customer service more efficiently. A strategic fit with the corporate vision and a partner who shares the company's values are crucial for success. Price alone is not a yardstick - quality, trust and cultural fit are the real success factors.
